Policies & Terms

Booking a Session

Photography Sessions are booked via phone or email. During this phase we will discuss lighting, location(s), and any other questions. To book a portrait session of any kind you must pay a non-refundable $25 reservation fee within 3 days of scheduling your appointment. This deposit is applicable towards the full session fee. You will also be required to sign a portrait contract (either by fax, by e-mail or by regular mail).

Upon signature and receipt of deposit, Jennifer Spence Photography reserves the time and date agreed upon and will not make any conflicting reservations for this time and date. For this reason the $25 reservation fee is considered liquidated damages and is non-refundable. Any session that is cancelled 48 hours in advance to the session date may apply the $25 reservation fee towards rescheduling the session. Any session cancelled later than 48 hours in advance forfeits the reservation fee and must pay a new $25 reservation fee to reschedule. Exceptions to this policy may be made at the photographers’ discretion in the event of emergency or inclement weather.

Please make every attempt to arrive on time. The portrait session itself will be either in the studio or on location. If on location, up to 30 minutes may be needed to set up equipment. Location session time begins when setup is complete. Studio session time begins at your appointment time. If arriving late, be sure to notify us and keep in mind that arriving late will shorten your portrait session.

Your session can take place wherever you feel most comfortable.  Depending on the style of portrait, I can shoot in the studio or your home, a favorite park, or another outdoor location of your choosing. The basic fee includes 1 location. Since I do a lot of work with natural light, I try to schedule location sessions to take advantage of the best times of day. Outdoor light typically looks best during mornings and late afternoons. Sunrise and sunset are considered ‘golden’ times for many photographers and artists. The golden light changes very quickly around sunrise and sunset, though, so portrait sessions at those times usually cannot accommodate clothing changes.

In any case, I am always willing to work around your busy scheduling needs. In order to make the most of our time and avoid distractions, please invite only the people you wish to have photographed if possible.  As many as 4 people are included in the basic session fee, and larger parties can pay an additional fee per person.

At The Session

A basic portrait session usually lasts 1 to 2 hours, though more time may be pre-scheduled at an additional cost. Whether in the studio or on location, some test shots will be done first, and lighting will be adjusted to complement your face and figure.

On the day of your session, try to arrive with your clothing, hair and make-up as you wish them to appear in your portrait (unless we are providing makeup & hair). Don’t worry if you have a sudden skin problem – basic blemish retouching is included in your session fee.

No more than 2 outfit changes are recommended for a basic portrait session. Feel free to bring in as many outfits as you wish, but please remember that you are using your session time for these changes. It works best to plan your clothing changes to use the least amount of time for this. Realistically, if you want to have 3 or more distinct and separate looks, it may be best to book additional time or plan for additional portrait sessions to ensure the best outcome. This is especially true for performers and models, who often wish to portray more variety for their portfolios. Also, remember that facilities for privacy are not offered for outdoor sessions. We do incorporate a variety of poses in the session, some of which may be full body, so take note when pairing shoes and other accessiories for your outfits. If you have additional questions about clothing, props, or locations please let us know.

You are encouraged to bring any personal items to your session, to help create the mood of your portrait. Any items that reflect your interests or hold a special meaning for you are perfect; i.e. hats, scarves, guitar, baby blanket, a favorite flower, sports equipment, pets, toys, etc. Use your imagination! You may also consider bringing a CD of music you’d like to hear during your photoshoot.

After The Session

Your photos will be posted in an online gallery and available for viewing within approximately 10-14 business days after the date of your session. You will decide on any add-ons, retouching, or other á la carte services at this time. Your gallery will be available online for (3) months, giving you plenty of time to view your photos, send them to friends and family, or place your order. All prints and other merchandise ordered from your gallery will arrive soon after directly to your doorstep. Please allow an additional 1-2 weeks of processing time on orders for any custom made merchandise.

From session to delivery, I spend between 15-20 hours working with you and your project to ensure that each of your images are of the highest quality standards.  Please keep this in mind when booking your sessions, and give yourself plenty of breathing room for any deadlines involving your images.  Allow roughly 2 weeks for standard portrait orders and 3-4 weeks for custom or specialty items.
